Insurance companies face strict regulations from authorities like FINRA, HIPAA, and standards for handling personal information (PII). Many still rely on legacy email systems, which are slow, inefficient, and risky. The recent Landmark Admin data breach, affecting 800,000 customers, highlights the urgent need for secure, automated workflows.

HALO addresses these challenges by automatically monitoring and managing document flows to ensure compliance and security. It breaks down digital content silos and improves email security using advanced features from mxHERO’s Mail2Cloud platform.

All digital content, including emails, metadata, email attachments, policy documents, and customer records, is organized in a secure Box Intelligent Content Cloud Hub. Purpose-built AI agents, such as HALO, identify the best next steps to speed workflow processes.

For example, when a customer requests an insurance quote via email, HALO automatically manages communications among the customer, broker, reinsurer, and account manager. Using Box Forms and DocGen, the system automatically generates contracts based on submitted customer information. The customer can electronically sign documents using BoxSign, and HALO ensures every action is transparently recorded and auditable in the central Box Hub.

Box AI helps users by answering essential workflow questions and suggesting the next required actions. Box Relay automates notifications to appropriate team members, and built-in supervisor approval ensures critical steps receive proper oversight. These processes, combined with AI oversight, reduce human error and increase efficiency.

By replacing outdated email-based workflows with HALO’s integrated, AI-powered system, insurance companies improve compliance, enhance security, and significantly boost productivity. HALO empowers insurance organizations to confidently handle regulatory demands and digital transformation in today’s complex business environment.

Why did we build this?

Our deep dive into the Box Enterprise Advanced platform aims to expedite our workflow and enhance our delivery capabilities in a secure, responsible manner. We wanted to explore the full potential of the new Enterprise Advanced features, discovering how organizations can incorporate intelligence and automation into their daily operations. For our customers navigating the complexities of AI technology investments, Box stands out as a reliable choice. As a smaller firm, and with the wealth of options we have to choose from, strategic investment decisions are crucial, and Box has enabled significant advancements in our agentic endeavors.

While there is too much for one article, we will continue to share updates as we release agent experiences and will be pushing on the incorporation of DocGen, Box Apps, and additional Box functionality along the way.

What’s Next?

After the initial deployment of any agent solution, the real work begins. Our goal is to enhance the user experience by enabling additional data sources and implementing role-based guidelines for scalability applying Box Apps, additional Relay capbilities and Box Sign execution by the agent.

We will leverage historical policy data and continuously add new features, including direct email response capabilities to streamline workflows and take on repeatable work and tools for searching archives related to business unit activities across workgroups.

Additionally, we are able to make our agents available for integration into external user interfaces, allowing users to interact with them in their preferred environments while utilizing larger datasets and specialized LLMs and SLMs for richer and more capable experiences.
